Turn quiet quotes into clear decisions
Get quiet quotes moving with useful follow-up messages and a clear next date. Give customers an easy way to decide while you keep the next job in view

Friday, 16:20. You have a space in next week’s diary and a bathroom quote sitting unanswered. The customer wanted to check the budget. You meant to follow up, and now the week is nearly gone.
Give the quote a next date and the customer an easy question to answer. Sam prepares the follow-up; you approve it on WhatsApp and keep the conversation moving toward a decision.
Know when the customer plans to decide
Ask about timing when you send the quote. A customer waiting for payday needs a different follow-up from one comparing start dates. Put that detail beside the estimate while the conversation is fresh.
Then agree the next contact. “Shall I check back on Friday?” gives both of you a date. When Friday comes, you can pick up where you left off.
Get a useful reply to the estimate
Keep the quote within reach of every message. Include the current version, the work it covers, and the question that helps the customer decide. Use this starting rhythm when a decision date has yet to be agreed.
Day 2: put the quote back within reach
“Did the estimate reach you? I can resend it if that helps.” Attach the quote or link to it. The customer can open the details from the same message and tell you what they need next.
Day 5: answer what is holding the job up
“Would a parts and labour breakdown help before you decide?” Match the question to the conversation. For a customer concerned about timing, check the diary and offer a discussion about the dates available.
Day 10: ask for the next step
“Would you like to go ahead, revisit this later, or leave it for now?” Make each answer easy. You get a clearer diary and the customer gets a straightforward way to tell you where they stand.
Keep the reply with the job
Mark the quote accepted, declined, later, or waiting on a specific question. Record the next date. That lets you spend the next follow-up on a useful conversation and give finished decisions their place in the record.
Have Friday’s follow-up ready between jobs
At 14:10, Sam prepares the message for quote 0418. The customer’s question about timing is attached. You check it, reply “OK” on WhatsApp, and return to the work in front of you.

Finish Monday with every quote on a next date
Use the Monday admin routine to review the outstanding estimates. Look for repeated questions about price, scope, or timing. Answering those earlier makes the next quote easier to understand and the follow-up easier to send.
