Start the day with the bookings in hand

The routine starts before closing. Put your opening hours, appointment types, prices, and booking calendar together. Write the answers to the questions you hear most often.

A customer needs to know whether you can help and what to do next. A ready answer gets them closer to choosing a date. Your morning check then focuses on the few questions that need your judgment.

  1. Give customers a clear message route

    Put your supported WhatsApp or SMS number on the website and in your voicemail greeting. Ask for the customer’s name, the service, and a preferred date. Say when your team returns calls, so the customer can choose the route that suits them.

  2. Have your everyday answers ready

    Write down hours, service area, visit fees, appointment lengths, and cancellation arrangements. Use the words you would use at the desk. A short answer about the service and price gives a customer something concrete to decide on.

  3. Make the diary ready to take bookings

    Include travel, preparation, and the right member of staff. Keep the calendar current as the day changes. Then a request for Thursday afternoon can become an appointment with the details attached.

  4. Give unusual requests a named next step

    Prepare a reply for questions that need you: “The owner will confirm the price after opening.” Put the customer’s question beside the proposed answer. At breakfast, you can read it once and reply OK on WhatsApp.

  5. Clear the open items before 8am

    Review bookings, cancellations, delivery issues, and approvals. Assign each remaining question to a person and a time. Once that is done, the first client of the day gets your attention.
